AI Qualify Leads and Close the Deal

The AI Collect information and close the deal feature helps the chatbot automatically guide conversations to collect information, segment customers, and close sales effectively. Based on smart instructions, AI can ask questions, record answers, personalize responses, and evaluate customer potential across four metrics:

  • lead_score: total conversion potential

  • fit_score: product/service suitability

  • engagement_score: engagement level

  • sentiment_score: sentiment (Positive / Neutral / Negative)

Common Applications

  • Appointment booking (spa, medical, sales consultation…)

  • Automatic lead scoring

  • Personalized responses and customer routing

(e.g. only route customers with fit_score > 80 to human agents)

Setup Steps

This feature is used in Auto-reply Flows.

To use this feature, you need to integrate ChatGPT. See ChatGPT Integration Guide.

Step 1: Create a block

In Automation Flow → click +Add Block → choose Integration AI → select ChatGPT block.

Choose the “Collect information and close the deal” option.

Step 2: Choose Model, enter “AI Request” and “Context” to generate questions

Help me collect information to schedule a spa appointment for a customer, including: full name, skin type, free time, and phone number.

Sample Context:

Kim Anh Spa specializes in facial skin care in Da Nang. The communication style should be gentle, friendly, and may use emojis but not excessively. Customers are usually interested in: skin type, suitable services, and appointment time. If the customer is unsure about their skin type, offer to provide further advice. Ask only 1–2 questions at a time to avoid tiring the customer.

Then click Generate with AI

Step 3: Edit Content

AI will automatically generate a series of questions/tasks based on the information you provided.

  • To edit a question, click the (3 dots) next to each one and select Edit.

  • You can attach images or quick reply buttons to each question.

  • To add a new question, click the + Add button.

  • For each question, you can enable “Save to Attribute” to store the user's response. Toggle On the save switch and choose the Custom Attribute to store the answer.

AI will automatically recognize important information and store it under Attributes.

Example:

Bot: “Could you provide your phone number so we can confirm your appointment?”

User: “My number is 0908889999, please call me outside of working hours.”

AI will extract the phone number from the response and save it. It can do the same with skin type or appointment time.

Note:

  • If the save switch is off: The question will display and move to the next.

  • If the save switch is on and no attribute is selected: The bot will wait for a reply before moving on.

  • If the save switch is on and an attribute is selected: The question will repeat until the bot identifies a suitable response.

Step 4: Instruct AI to score and save to attributes based on 4 criteria:

Scoring attributes are automatically saved to {{lead_score}}, {{fit_score}}, {{engagement_score}}, and {{sentiment_score}} based on the entire conversation between the customer and AI.

  • lead_scoreTotal conversion potential

Example: If a customer has a high fit_score, interacts actively (engagement_score), and has a positive attitude (sentiment_score), then lead_score will be high (e.g., 85/100).

  • fit_scoreSuitability for the product/service

Example: If a customer is looking for the right product, matches the target group, and has clear needs such as "I'm looking for a facial cleanser for oily skin," then fit_score could exceed 90.

  • engagement_scoreLevel of interaction with the AI

Example: If the customer answers all questions, asks follow-up questions, clicks links/buttons, the score is high (e.g., 80+). If they give brief or no responses, the score is lower.

  • sentiment_scoreSentiment analysis (Positive / Neutral / Negative)

Example: Phrases like “Thanks so much 💕” or “Sounds great!” are Positive. Cold or negative responses like “This is annoying” or “No need” would be scored Neutral or Negative.

Step 5: Suggested flows based on scores

After AI evaluates the customer, you can set up conditional flows to automate the next steps:

1. Flow by fit_score – Suitability level

  • fit_score >= 80: → Route to a human agent for care or immediate consultation

  • fit_score 50–79: → Continue sharing product info or suggest better alternatives

  • fit_score < 50: → Low priority, add to nurturing or remarketing list

2. Flow by engagement_score – Interaction level

  • engagement_score >= 70: → Send exclusive offers or close the sale directly

  • engagement_score < 40: → Send a gentle follow-up message after a few hours, for example:

“Hi {{first_name}}, I still have a gift for you 🎁, claim it today, okay?”

3. Flow by sentiment_score – Customer emotion

  • Positive: → Offer upsells, promotions, or combo deals

  • Neutral: → Continue with light conversation, offer more info

  • Negative: → Lower question frequency – gently redirect or end the chat politely

4. Flow by lead_score – Total conversion score

  • lead_score >= 80: → Tag as “HOT lead” → prioritize for call or targeted marketing

  • lead_score 60–79: → Send an automated nurturing sequence over 1–3 days

  • lead_score < 60: → Add to remarketing list

Cosmetics – Free Gifts + Upsell

  • AI Request:

Collect customer information to receive a free gift, including: name, phone number, and address. Then, suggest purchasing an additional 199K VND cosmetics combo.

  • Context:

You are a cute, friendly consultant. Please help the customer {{gender}} {{first_name}} receive a free gift + free shipping (a 100K VND gift set including: Hair Spray, Facial Cleanser, and Hair Nourishing Essential Oil) by politely asking for the following details in order: name, phone number, and shipping address.

If the customer has questions about the products, provide answers that are clear, easy to understand, and stay within the scope of product knowledge. Use light, positive emojis 😊🎁 throughout the conversation to increase friendliness and create a warm experience. After collecting the information, you may gently suggest the 199K VND cosmetics combo along with its benefits. If the customer agrees, confirm the order. If the customer declines, explain why the combo is worth buying.


Spa / Beauty Clinics

  • AI Request:

Help me collect info to schedule a spa appointment, including: name, skin type, service of interest, free time, and phone number.

  • Context:

Linh Chi Spa in Hanoi offers basic and advanced skincare services. Use a gentle, feminine, and friendly tone, like a professional beauty consultant. Ensure comfort for {{gender}}; don’t pressure them to answer. If unsure about their skin type, offer guidance.


Real Estate

  • AI Request:

Help me collect information from customers interested in real estate: name, preferred location, budget, property type, and viewing time.

  • Context:

Van Phat is a mid-to-high-end real estate company. Use a professional, clear, and directive tone. Remain polite with {{gender}}. Avoid vague questions. Instead, ask specific ones like: "Which area are you looking in?" "What’s your expected budget?"


Automotive / Showroom

  • AI Request:

I need to collect info from customers looking to buy a car: name, model interest, budget, usage purpose, and test drive time.

  • Context:

Toyota An Phu showroom in HCMC is an official dealership serving personal and business clients. Use expert, neutral, and respectful language with {{gender}}. You may ask: "Do you need the car for daily commuting or long trips?"


Education / Language Center

  • AI Instruction:

Collect information from parents or students to recommend suitable courses: name, age, learning goals, available schedule, and phone number.

  • Context:

Gò Vấp English Center specializes in English training for children and working adults. The communication style should be cheerful, open, and inspiring. The bot should show genuine interest in {{gender}}’s learning goals and offer gentle encouragement. If the user is a parent, the bot should be more polite and careful with its language.


Fitness / Gym / Yoga
