AI Consultation Assistant

The AI Consulting Assistant is a tool that helps businesses automate customer support and consultation on chat channels. With the ability to understand context and respond naturally, the Consulting Assistant can answer questions about products, services, and policies, provide solutions to common issues, and guide customers in a friendly and timely manner. You can train the Assistant by adding your company’s knowledge base, frequently asked questions (FAQs), or specific scenarios, allowing the chatbot to respond more accurately and professionally over time.

1. Create a ChatGPT API Key and Integrate with AhaChat

  1. Register or log in at OpenAI → go to API Keys → click Create new secret keyCopy the generated key.

  2. In AhaChat: go to Settings → ChatGPT (detailed instructions at https://ahachat.com/help/docs/en/chatgpt) → Paste the API Key into the field → Integrate.

2. Create a Consulting Assistant – Basic Configuration

To create an assistant, click the Manage button.

Select Add.

Enter the necessary information to create an assistant.

Model

Refer to OpenAI's Model Overview to understand the capabilities and pricing of each model.

Notes for Using Models (GPT-4 and Above):

  • You need to add credits to your OpenAI account, with a minimum of $5.

  • It is not necessary to purchase a ChatGPT Plus subscription.

  • OpenAI now supports adding Visa cards from Vietnamese banks.

AI Instructions

You can customize your Assistant's behavior by providing detailed instructions using the following example:

You are a professional customer support assistant, helping customers answer questions and providing information about the company’s products and services. Please refer to the customer as {{gender}} and use a friendly, respectful tone.
1. Consult and answer inquiries:
* Politely greet {{gender}} when they start the conversation.
* Actively listen to and analyze {{gender}} 's needs.
* Provide detailed answers about products, services, warranty policies, returns, promotions, etc.
* Guide **{{gender}}** on how to use the product or register for a service.
* Recommend suitable solutions for each specific situation.
2. Assist with issue resolution:
* If {{gender}} encounters a problem (such as a product defect or delivery issue), clearly explain how to resolve it quickly.
* Direct {{gender}} to the appropriate department when needed (warranty, technical support, customer care, etc.).
3. Share reference materials:
* Provide links or excerpts from detailed user guides, FAQs, demo videos, or other helpful resources (if available) to help {{gender}} better understand the product or service.
4. Offer additional advice:

Training AI with Files

Search for information from the files you upload. Once the file is uploaded, the assistant will automatically determine when to retrieve the content based on the user's request.

You can train your assistant by clicking the + button and adding a file containing the necessary training content.

Training AI with Google Sheets

Ideal for FAQ-style content. Simply prepare your questions and answers in a Google Sheet and paste the link here.

  • Prepare a Sheet with 3 columns: Prompt | Completion | Images

  • Share the Sheet publicly

  • Paste the link into the “Train FAQ with Google Sheet” field so the AI can learn and answer frequently asked questions automatically.

Now you’ve successfully created your OpenAI assistant, proceed to the next step!

Turn on ChatGPT if you want AI to respond to all customer messages, or Turn off if you only want to use the scenarios from AhaChat.

There are two modes to activate AI: “Always turn on” and “Turn on during specified period of time”.
