What are Roles and How Can They Be Used?

All users who have access to a particular bot within AhaChat have one of three Roles that define what sections of the AhaChat are available to them and can be changed.

Here's a brief description of each role:

Admin

Admins have full bot control including user roles management and following permissions: bot cloning and disabling, sharing bot contents, creating and installing templates, managing billing and payments.

Operator

This role is used to communicate with bot subscribers and grants all the required permissions to manage conversations inside Live Chat. The Operator can assign existing Tags and manage Attributes values. They are not allowed to create or edit bot content but can view all the existing flows.

Auto inbox

This role allows team members to reply to comments from customers automatically.

Joining a Bot

You can join AhaChat bot as long as you currently have the Admin Facebook Page role access. In order to join existing AhaChat bot go to the list of all your bots in main screen, click + Create bot

Then select the page you would like to Join:

A similar list will be available to every newly registered AhaChat user as part of the on-boarding process.

Joining by Invitation Link

You can invite new users to AhaChat bot by sharing with them the invitation link. Keep in mind that only Admins of the bot can generate an invitation link. Unlike joining, the invitation mechanism allows the Admin to choose the role that will be assigned to an invitee who follows your link. Note also that invitation link expires after 24 hours and can be used only once.

It's important to note that in the case of invitation, the Facebook Page role a user has is insignificant (e.g. if someone who has Facebook Page Admin role was invited via Operator-link they end up having Operator User Role within AhaChat). Furthermore, your invitees do not need to have any Facebook Page role at all. All they really need to have to join your bot is AhaChat account.

Note that if a person is already a user of AhaChat bot it's impossible for them to change their Role by following invitation link with different Role.

In order to generate an invitation link go to Settings -> Roles, click Invite button, then select desired User Role and click + Invite.

Copy it and send to any person who needs to join.

How Do I See What My AhaChat Role Is?

You can always check you current AhaChat Role in the Roles tab of the Settings section. Go to Settings -> Roles, find your name in the table with users that have access to the bot. If you used your own credentials to log in to AhaChat you should see "Exit the bot" text right next to your name. This is your AhaChat user.

If you are also an Admin of the Facebook Page you will see the Facebook icon right next to your AhaChat Role.

Changing Roles

AhaChat Admins can change a role of any other user who joined the bot by invitation.

Admin can also change roles of users who joined via regular joining but cannot demote AhaChat user below the role that was assigned at the moment of that joining. This limitation has a workaround of demoting a user on Facebook Page first then removing them from AhaChat and sending them an invitation link with needed Role.

Non-Admins cannot change Roles of other AhaChat users.

Removing yourself from the bot

AhaChat users with any User Role (including Admins) are able to remove themselves from the bot. Admins can also remove other users. Just hover mouse pointer over the person you want to remove from roles.
